Privacy Policy
The IVF Coach takes your privacy seriously. This policy explains what information we collect, why, and how it is handled — in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
The IVF Coach is operated by Katharine Gailard, Natural Fertility Specialist, based in Marlow, Buckinghamshire, United Kingdom. For any privacy-related questions, you can contact Katharine at hello@theivfcoach.com or via WhatsApp on +44 7747 630119.
2. What information we collect
We only collect information you provide directly to us when you:
- Submit an application form on this website (name, email, phone, age range, your situation, IVF history, and any context you choose to share)
- Send us an email, WhatsApp message, or other direct communication
- Book or take part in a Care Concierge call or the programme itself
We do not run advertising trackers on this website beyond standard, privacy-respecting analytics that help us understand which pages are visited.
3. How we use your information
Your information is used to:
- Review your application personally and respond to you
- Run the Care Concierge call and, if you join, deliver the programme
- Send you programme-related communications (cohort dates, materials, follow-up)
- Comply with our legal and tax obligations
We do not sell, rent, or trade your information with third parties for marketing. We will never share anything sensitive about your fertility journey without your explicit consent.
4. Legal basis for processing
Where we process your personal data, we rely on one of the following legal bases under the UK GDPR:
- Consent — when you submit an application or sign up for communications
- Contract — when you enrol in the programme and we provide the service to you
- Legitimate interests — for example, to keep our records of past clients in line with professional and tax obligations
5. Third-party services we use
To operate this website and the programme, we use a small number of trusted services, each with their own privacy practices:
- Netlify — hosts this website (incl. form submissions)
- Email provider — for direct correspondence with you
- Zoom — for live group calls and Care Concierge calls
- WhatsApp — for cohort group communication if you choose to use it
- Stripe or another regulated payment processor — for taking payment if you join the programme
6. How long we keep your data
Application data is kept while we are in active communication with you and for a reasonable period afterwards. Programme participant records are retained in line with our professional and tax record-keeping obligations (typically up to 7 years). You can ask us to delete your data at any point — see section 7.
7. Your rights under UK GDPR
You have the right to:
- Access the personal information we hold about you
- Request that we correct anything inaccurate
- Request that we delete your data ("right to be forgotten"), subject to legal retention requirements
- Restrict or object to certain processing
- Withdraw consent at any time, where consent is the basis we rely on
- Lodge a complaint with the UK Information Commissioner's Office (ico.org.uk)
To exercise any of these rights, email hello@theivfcoach.com. We will respond within one month.
8. Cookies
This website uses only minimal, essential cookies for its core functionality. Where any analytics cookies are used, they are anonymised and aggregated. We do not run third-party advertising cookies.
9. Children
This service is not directed at children. We do not knowingly collect personal data from anyone under 18.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent change. Continued use of the website after a change indicates acceptance of the updated policy.
